How Often Should Office Carpets Be Professionally Cleaned?
There is no single cleaning schedule that is right for every office carpet.
A quiet meeting room and a busy reception area may be covered with the same carpet, but they experience very different levels of footfall, soiling and wear. For facilities and workplace managers, the more useful question is therefore not simply how often should we clean the carpets? but which areas need attention, and when?
For many workplaces, professional commercial carpet cleaning forms part of a planned programme of specialist cleaning alongside routine day-to-day maintenance.
What determines how often an office carpet needs professional cleaning?
Several factors should be considered when deciding how frequently commercial carpets require professional attention.
Footfall
This is one of the most obvious factors.
Entrances, reception areas, main walkways, corridors and busy communal spaces experience considerably more traffic than private offices or occasionally used meeting rooms.
Treating the whole building on exactly the same schedule may therefore be unnecessary. A planned approach can identify the higher-traffic areas that require more frequent attention while quieter areas are cleaned less often.
The type and use of the workplace
An office occupied by a relatively small team will place different demands on its carpets from a busy multi-tenanted building or business centre receiving employees, visitors, contractors and deliveries throughout the day.
The way the building is used should therefore influence the cleaning programme.
Entrances and external conditions
What happens outside the building eventually affects what happens inside it.
Moisture, grit and general soiling can be brought into a workplace on footwear, particularly around entrances and during poor weather. Entrance areas and the routes immediately beyond them can consequently require attention sooner than other parts of the building.
Spills and staining
Coffee, food, tracked-in dirt and other accidental spills are a fact of life in many workplaces.
Individual stains may require attention before the next planned whole-area clean. Leaving a problem simply because the annual carpet clean is several months away is rarely a sensible maintenance strategy.
The appearance expected of the building
A customer-facing reception, boardroom or managed office environment may have a higher presentation standard than a low-traffic back-office area.
For business parks, serviced offices and other professionally managed premises, the appearance of carpets can contribute to the overall impression created for occupiers and visitors.
Is annual professional carpet cleaning enough?
It can be for some areas, but an automatic once-a-year approach does not take account of how individual parts of a building are actually being used.
As a broad starting point, lower-traffic office areas may only require periodic professional cleaning, while busy entrances, corridors, reception areas and communal spaces may benefit from more frequent attention.
Current industry guidance commonly places professional office carpet cleaning somewhere within a 3–12 month range depending on traffic and circumstances. The important point, however, is that this should be treated as a starting point rather than a universal timetable.
A better programme is based on the actual condition and use of the premises.
Why wait until the carpet looks dirty?
This is where reactive and planned carpet cleaning differ.
With a reactive approach, professional cleaning is arranged once staining, traffic lanes or general deterioration have become sufficiently noticeable to prompt action.
Planned carpet maintenance aims to intervene before the condition of the carpet reaches that point.
Routine vacuuming remains an essential part of everyday carpet maintenance, but periodic professional cleaning addresses the deeper soiling and staining that routine cleaning alone may not resolve.
For facilities managers, planning the work in advance also makes it easier to coordinate specialist cleaning around building occupancy and other maintenance requirements.
Should the whole office be cleaned at the same time?
Not necessarily.
Larger offices and business premises can often be considered in zones according to use and footfall.
These might include:
- entrances and reception areas;
- main corridors and circulation routes;
- open-plan office areas;
- meeting and conference rooms;
- breakout and communal areas;
- executive and private offices; and
- other carpeted areas with particular levels of use.
This allows the cleaning programme to reflect the building rather than applying an arbitrary frequency to every square metre of carpet.
It can also help facilities teams prioritise the areas where professional cleaning will have the greatest impact.
One-off carpet cleaning or a planned programme?
There will always be circumstances where a one-off commercial carpet clean is appropriate.
An office may need refreshing before an important event, following building works, at the end of a tenancy, after particularly heavy use or simply because the carpets have reached the point where routine maintenance is no longer enough.
For premises with significant carpeted areas, however, planned professional cleaning can provide a more proactive approach.
The appropriate programme might involve different areas being treated at different intervals according to their condition, footfall and importance to the appearance of the workplace.
The objective is not to clean more often than necessary. It is to clean at the right time.
